Build the layout around people moving between activities
Describe where guests arrive, gather and use food or entertainment areas. Consider how they will find toilets and washing without crossing vehicle movements. If the property has separate spaces operating together, discuss placement accordingly rather than automatically choosing one central cluster.
Keep setup and removal in the event brief
Record when organisers need access and when the venue must be cleared. Coordinate restroom visits with other deliveries, then nominate an on-site contact for questions. Confirm a revised arrangement if the footprint or schedule changes after the quote is accepted.
Use one agreed layout for all equipment arrivals
If different suppliers work from different versions of a site plan, a clear approach can disappear before the restroom delivery. Share the agreed position with the person managing setup. Explain which entrances remain available once guests arrive and how removal fits the venue’s clearing arrangements.
Mark the practical details
- The actual equipment entrance, not just the guest entrance
- Space around doors, steps or the proposed accessible route
- The contact available after the main event ends
