Count people who will actually rely on the rental
For a Winter Haven worksite, list the crew and overlapping trades at the busiest stage. For a gathering, describe guests, organisers and vendors together. Explain which existing bathrooms they can use and when access ends. A facility behind a closed building is not available simply because it appears on the property plan.
Separate the user groups
- Workers unable to use the occupied building
- Guests present during the busiest programme period
- Setup and clearing teams working outside public hours
Tell the rental contact what changes over time
A project can need a different arrangement after a new work phase begins. A recurring gathering may have quieter and busier dates. Include those changes, the length of each use period and the proposed service access when discussing quantity. Ask how a revised requirement will be reviewed if the original plan changes.
Include more than the toilet count
Discuss washing, accessible equipment and approach, and where people gather. Several separated activity areas may need a different placement conversation from one shared space.
Confirm a recommendation for the actual site
This guide does not calculate a universal users-per-unit figure or certify workplace compliance. Give the responsible organiser or site manager the proposed facilities to review against the activity and applicable requirements. Then confirm the equipment and visits with the rental contact.
